Every document.Found in seconds.
NG DMS takes a document in once — from the browser, e-mail, SEF or a scanner — reads it in Cyrillic and Latin, takes it through approval, enters it in the registry and keeps it in the archive. NG Copilot answers questions from your documents citing the exact page, and every user sees only what they may.
- OCR: Serbian Cyrillic, Latin and English
- Approval workflows without a developer
- Records registry and archive book
- NG Copilot and an MCP server
Marked. Found. Registered.
Six steps every document goes through — from an envelope or an e-mail to the archive book.
Comes in once
Browser, e-mail, SEF, a watched folder or duplex scanning. The same file is recognised by its content fingerprint before capture.
Becomes readable
OCR per page, a PDF/A-2b archival copy, a thumbnail, barcodes and ASB. The original stays unchanged.
Gets described
Type, correspondent, tags and fields — suggested by the organization’s rules and NG Copilot, confirmed with one click.
Goes for approval
A workflow with deadlines in working days, a decision tied to the version and an internal signature. No document waits in someone’s inbox.
Is found
Full text and meaning, Cyrillic = Latin, a Ctrl/Cmd + K palette and the viewer on the exact page — only over what the user may see.
Is registered and kept
The records registry, a retention schedule, the archive book and disposal with the archive’s approval.
From the first scan to the archive book
Each area has its own page with a precise description, how it works and answers to common questions.
Document
- CaptureA file enters once, is checked and processed, and becomes a searchable document.
- Search and viewerCyrillic and Latin find each other, and a hit opens the exact page of the document.
- Classification and metadataTypes, tags, correspondents, attributes and counters that the organization maintains itself.
- Workflows and approvalsInvoices, contracts and decisions move from person to person on their own, with a deadline and proof of every decision.
Filing and control
- Registry and archiveRegistering, retention periods, the archive book and disposal — from incoming mail to handover to the archive.
- Access and isolationOnly those allowed see a document — in the list, search, counts and viewer.
- ComplianceA fingerprint, an archival copy and a trail of every change — proof the document stayed the same.
- Public sectorA registry office that reads Cyrillic, registers by the rules and knows where the paper is.
AI and platform
- NG Copilot and MCPAsk your documents in your own words — the answer comes with a citation of the exact page, only from what you may see.
- IntegrationsNG One, NG CRM, SEF, e-mail, Office and API — a document lives in one place and shows up wherever it is needed.
- SaaS and on-premisesIn the cloud with data in the EU, or the same package on your premises — and a licence verified locally.
NG Copilot knows your documents. And your rules.
Ask in your own words, get an answer with its source and carry on working in the same system. The AI assistants your team already uses connect over MCP, and NG One, NG CRM and SEF through ready-made integrations.
NG Copilot
The AI assistant built into NG DMS.
- Answers from documents citing the exact page
- Contract summaries and version comparison
- Amounts, deadlines and tax IDs extracted into fields
- Sorting incoming mail and suggesting a workflow
MCP server
A standard connection for AI assistants and agents.
- Search, read and cite documents
- Always on the user’s behalf, under their permissions
- A key per organization, revoked in an instant
- Every query and open in the access trail
Integrations
A document in one place, visible wherever it is needed.
- NG One: an approved invoice goes to booking
- NG CRM: documents on the customer’s card
- SEF and e-dispatch notes, e-mail, Office and Outlook
- Public REST API and webhooks
A document is read where it was found
No download and no waiting for another program to open. The viewer is part of NG DMS and follows the same permissions as the list.
- The exact page from search and from CopilotA search result and a citation in an NG Copilot answer open the viewer on the page with the hit, with the passage marked.
- Not just PDFImages, multi-page TIFF, text and CSV and e-mail with its list of attachments, plus a standalone full-view page.
- Page editingRotate, split into new documents and delete a page. The change becomes a new version, and a deleted page does not remain in the file.
Made for a Serbian registry office, not translated afterwards
The script, the regulations and the paper that still exists.
- Cyrillic and Latin as equalsOCR recognises both scripts, and search finds “ugovor” even when the page says “уговор”.
- ASB labels for paperA sheet of labels with consecutive numbers; the barcode on the scan sets the number of the paper original.
- Several organizations, one systemEach organization has its own documents, registers, roles and letterhead — strictly separated.
- Records registryRegistering, assigning, closing cases and closing the year, with numbers that are never recycled.
- Archive book and retention scheduleRetention periods, the archive book transcript by 30 April and disposal with the archive’s decision.
- Register of received invoicesAn incoming e-invoice from SEF becomes a DMS document, is registered in the received-invoices book on its own and goes for approval.
Who may see which document — and why
The same permission predicate applies on every read path: list, search, viewer, thumbnails, counts and NG Copilot’s answers.
- The organization is a data boundary at database row level
- Roles per organization, user groups, owner and per-document sharing
- Five confidentiality levels; opening strictly confidential documents leaves a trail
- Antivirus before acceptance: an infected file or an unavailable scanner means rejection
- SHA-256 fingerprint, a weekly integrity check and a hash-chained audit trail

The archive book and the list of record categories: obligations and how NG DMS keeps them
The archive book, the list of record categories approved by the archive, the transcript due by 30 April and disposal with the archive's decision — what the rules require and how NG DMS handles it.

ASB labels and separator sheets: how a paper original gets its number
A barcode label on the first page, a separator sheet between documents and a scanned stack that splits itself — so a scan always leads back to the binder.
Frequently asked questions
What is NG DMS?
NG DMS is a document management system by Konis Software: capture from the browser, e-mail, SEF and scanners, OCR for Serbian Cyrillic and Latin, a PDF/A archival copy, classification, search and a viewer, approval workflows, the records registry and archive book, with the NG Copilot AI assistant and an MCP server.
How do we get started with NG DMS?
Book a demo: on examples from your registry office we show capture, OCR, approvals, the registry and NG Copilot. After that we suggest the installation type, how to move existing documents and a rollout plan.
How much does NG DMS cost?
The price depends on the number and kind of users, the chosen modules and the installation — in the cloud or on your premises. We send an offer after the demo, once we know what you need.
Does NG DMS replace the records registry and the archive book?
Yes. The records registry, retention schedule, archive book with its transcript by 30 April and disposal with the archive’s decision are part of NG DMS, and existing entries from Excel or a paper book are imported with a sequence check.
What does NG Copilot do, and does it see every document?
NG Copilot answers questions from documents citing the exact page, and summarises, compares and extracts data. It acts on behalf of the signed-in user, so it sees exactly what the user sees — not a single document more.
Does NG DMS connect to NG One and NG CRM?
Yes. Approved incoming invoices go to NG One for booking, and a customer’s documents show on their card in NG CRM. Other systems connect through the public API, webhooks and MCP.
Can it be installed on our premises?
Yes. NG DMS runs as SaaS with data in the EU, as a dedicated instance or as the same package in your data centre, with a licence verified locally, without an internet connection.
